How to submit a proposal to a creative professional

When you find a creative on Promakers who fits your needs, you can invite them directly to collaborate on one of your projects. The process is simple: select a project, write a message, and send the invitation.

What is a proposal? A proposal is an invitation that you, as a client, send to a creative professional to collaborate on one of your projects. The creative professional reviews it and decides whether to accept it or not. It’s different from receiving a quote—here, you’re the one who takes the first step.

Before submitting a proposal

To submit a proposal, you need to have at least one project created. You can use a project you've already published or create a new one right now.

Important — You can only submit a project to a designer if that project hasn't already been submitted to another designer. If it has already been submitted, it will appear as "Submitted to [designer's name]," and you'll need to withdraw that proposal before you can reuse it.

Step-by-Step Guide to Submitting a Proposal

  1. Go to the profile of the creator you want to invite. You can find them by searching in " Discover Talent " or by going directly to their profile.
  2. Click the " Submit Proposal " button in the upper-right corner of the creator's profile.
  3. The "Submit Proposal" panel will open. Choose one of the two available options.
  4. Select the project you want to invite the designer to. Only available projects will appear—projects that have already been sent to another designer will show their status.
  5. Write a personalized message to the designer explaining what you need and why you think they're a good fit for your project. Maximum 500 characters.
  6. Click the " Send " button to confirm, and the proposal will be sent to the designer.
Tip — A personalized message greatly increases the chances that the creative will accept your proposal. Mention why you chose their profile, what kind of project it is, and what you hope to achieve through the collaboration.

Options when submitting the proposal

When you click "Submit Proposal," the system will ask you which project you want to use:

If you haven't created a project yet, or if you want to create one specifically for this creative, the project creation form will open.

📋 Use an existing project

If you already have projects created, you can select one from the list. You'll only see the projects that are available for submission.


Project status when selecting

When you select an existing project, each one displays its current status. This determines whether or not you can use it:

Published
Available for shipping

The project has been published and there are no active proposals sent to another designer. You can select it.

Draft
Cannot be sent directly

The project is still a draft. Publish it first from "My Projects" so you can use it in a proposal.

Project already submitted — If a project displays the text “Submitted to [creator’s name]” and the “Withdraw Proposal” button, it means the project has already been submitted to another creator and you cannot reuse it until you withdraw that proposal. See the next section for instructions on how to do this.

How to withdraw a proposal that has already been submitted

If you want to reuse a project you've already sent to another designer, you must first withdraw that proposal. Once you withdraw it, the project will be available again for you to send to whomever you choose.

  1. In the project selection panel, locate the project that says "Sent to [creative's name]".
  2. Click the " Withdraw Proposal " button next to that project.
  3. Confirm the action. The proposal will be withdrawn, and the project will be available again.
  4. You can now select that project to send it to the new designer.
Please note: When you withdraw a proposal, the designer you sent it to will no longer receive it. If that designer hasn't responded yet, they will lose the invitation. Only do this if you're sure you want to switch designers for that project.

What happens after I submit the proposal?

Once sent, the designer will receive a notification with your message and the project details. From there, there are two possible responses:

  • The creative accepts — you'll receive a notification, and you can start coordinating the project through the platform.
  • If the designer doesn't respond or declines, you can withdraw the proposal and send it to another designer if you think it's appropriate.
Remember— Submitting a proposal does not entail any financial obligation. Payment is only made once both parties agree on the terms and the client approves the creative’s quote.

Frequently asked questions

Can I send the same proposal to multiple creatives at once?

No. Each project can only be active in one proposal at a time. If you want to send the same project to another creative, you must first withdraw the previous proposal.

Can the creative professional view the details of my project before accepting it?

Yes. When a creative receives your proposal, they can view the title, description, and project details to decide if it matches their profile before accepting.

What happens if the creative director rejects my proposal?

If the creator declines the invitation, the project will become available again, and you can send it to another creator. You'll receive a notification letting you know.

Can I submit a proposal with a draft project?

No. You can only submit projects that have been published. If your project is still a draft, publish it first from "My Projects," and then you can include it in a proposal.

Does withdrawing a proposal delete the project?

No. Withdrawing a proposal simply cancels the invitation sent to that designer. The project remains active, and you can send it to another designer or leave it open to receive quotes.

How long does the designer have to respond to my proposal?

There is no set deadline. If the designer doesn't respond within a reasonable amount of time, you can withdraw the request and send it to another professional who better suits your needs.
