How to Manage Project Files

The "Files" tab in the workspace centralizes all project documents and audio files: references shared by the client, the creative's draft sketches, and the final deliverables. Understanding the three types of files and their protection options will help you manage the project more effectively.

Who can upload files? Both the client and the designer can upload files at any time while the project is active. The files are visible to both parties in the Files tab.

The three file types

When uploading a file, you must specify which category it belongs to. Each type serves a specific purpose within the project workflow.

Reference
Inspirational materials or guidelines that the client shares with the creative professional before or during the project.
Examples
Reference tracks, production notes, sound mood boards, lyrics, rough demos.
Download
Available at all times for both parties.
Sketch
Working versions or demos in progress that the designer shares to get feedback before the final delivery.
Examples
First mix for review, instrumental track, unmastered vocal version.
Download
It may be on hold until the project is completed.
Final Version
The final agreed-upon deliverables, ready for the client to use.
Examples
Final mix in WAV, stems, distribution-ready master, session files.
Download
It can be locked and watermarked until final payment is made.

Accepted file formats

The workspace accepts audio files in the following formats. The maximum file size is 500 MB.

MP3
WAV
AIFF
Recommendation — For rough drafts and reference files, 320 kbps MP3s are sufficient and take up less space. For final versions, always use uncompressed WAV or AIFF files—these are the industry-standard formats for professional-quality deliverables.

File upload security options

When uploading sketches and final versions, the designer can enable protection settings to control access to their work before the project is completed and payment is finalized.

Download Blocked

The file can be listened to in the workspace but cannot be downloaded. The download will be automatically unlocked once the project has been completed and the final payment has been released.

Watermark

The audio will play with an audible watermark overlaid on it. This protects the creator's work while the client reviews it before making the final payment.

Final Version
Important for creatives — We recommend always enabling "Download Blocked" and "Watermark" on final versions. This allows the client to verify that the work is correct before releasing payment, but prevents them from using the file without paying for it.

Step-by-step guide to uploading a file

  1. Within the project, go to the " Files " tab and click the " Upload File" button
  2. In the drop-down menu, select the file type: Reference, Sketch, or Final Version.
  3. Enter a descriptive title for the file (maximum 35 characters).
  4. Drag the file into the upload area or click " Select File " to find it on your device. Accepted formats: MP3, WAV, or AIFF. Maximum size: 500 MB.
  5. If you are uploading a Draft or Final Version, enable the protection options you deem necessary.
  6. Click on: Attach
Tip — Use clear, specific filenames: “Mix v1 — vocal review” is much more helpful than “file1.” Over time, the repository can accumulate many files, and descriptive filenames make it easier to find them quickly.

How to download files

To download a file, go to the Files tab and click the download icon at the end of the file's row. Please note the following:

  • Reference files are always available for download throughout the project.
  • Draft and Final Version files with "Download Blocked" enabled can only be downloaded once the project is complete.
  • Files with watermarks will be played back with the watermark until the project is completed, at which point the clean audio will be available.
For clients — If you see a padlock next to a file, it means the creator has enabled download protection. You can listen to it to verify that the work is correct, but the download link for the final file will be automatically unlocked once the project is complete.

Frequently asked questions

Can I change the file type after uploading it?

No. Once uploaded, the file type (Reference, Sketch, or Final Version) cannot be changed. If you need to change it, delete the file and upload it again with the correct type.

What happens to the locked files once the project is finished?

Once the project is completed and the final payment is released, all files marked as "Download Blocked" are automatically unlocked. The client can download them from the Files tab of the project.

Can I delete a file I've uploaded?

Yes. Click the three dots (⋮) at the end of the file's row to see the available options, including the option to delete. You can only delete files that you have uploaded yourself.

Is there a limit to the number of files I can upload?

There is no limit on the number of files, but there is a limit on the total available space per project. You can view the amount of space used in the upper-right corner of the Files tab.

Does the watermark disappear automatically when the project is finished?

Yes. Once the project is complete, the watermarked files become available in their unwatermarked versions. The client can then download the final deliverables.

Can I access the files after the project has been closed?

Yes. The files in the workspace remain accessible even after the project is completed. You can view and download them from the Files tab at any time.
